Overview
The Workplace Experience Coordinator owns the day-to-day office experience at OneRail. This role is responsible for ensuring every employee, visitor, and guest walks into a space that is welcoming, organized, and fully operational.
This individual serves as the front-facing presence of the office—setting the tone each day through hospitality, attention to detail, and consistency. From managing the front desk to maintaining a fully stocked kitchen and clean shared spaces, this role ensures the office runs smoothly at a high standard, every single day.

Responsibilities

Front Desk & Guest Experience

  • Serve as the primary front desk presence during business hours.

  • Greet and manage all visitors, candidates, and external partners with a professional, high-energy approach.

  • Coordinate guest check-in, access, and internal communication for a seamless experience.

  • Maintain a clean, organized, and polished reception area at all times.

Kitchen & Pantry Execution

  • Maintain a fully stocked kitchen including snacks, beverages, coffee, and supplies.

  • Prepare and manage daily coffee service, ensuring availability throughout the day.

  • Execute weekly snack setups with consistency and attention to presentation.

  • Monitor inventory levels and proactively restock to avoid gaps.

Office Presentation & Environment

  • Ensure all common areas, conference rooms, and shared spaces are clean, organized, and ready for use at all times.

  • Perform routine resets throughout the day to maintain a high standard of presentation, including but not limited to collecting empty coffee and drinking glasses from common areas and executive offices

  • Support seasonal décor and in-office experience enhancements.

Daily Operations Support

  • Receive and manage incoming deliveries and packages.

  • Provide light administrative and coordination support to the Office Operations & Events Manager as needed.

Qualifications

  • 1–3 years of experience in hospitality, office support, or a customer-facing role

  • Strong interpersonal and communication skills

  • High attention to detail and pride in maintaining organized environments

  • Ability to stay proactive and productive in a fast-paced, in-office setting
